Saving money and generating revenue
How can we save money just by using this system?
It's a sad fact, but true. In so many clubs, there is a 'fiddle.' ClubSec is designed
to be used when collecting subscriptions and also, if required, for selling tickets
for raffles and draws. Unlike systems which rely on paper, where a bit of judicious
pen work can render the figures uninteligible, ClubSec will have full details of
all transactions and cash sums.
The same security process exists for subs and ticket sales. Details of the payee
and the amount are, as you would expect, stored. At the end of any session of collecting
money, an entry is written into either the Subscriptions Log or the Ticket Sales
log. This entry is hidden from all users except Administrators and cannot be edited.
The log will contain details such as:
- The user who was logged on
- Time and date of the session
- How much cash was collected for
the club
- How much cash was collected on behalf of an outside body (e.g. payments for CIU
membership)
These logs can also be used for accounting purposes as by clicking on any two dates,
ClubSec will produce the total cash collected in the period.
But what about mistakes?
We all make 'em. ClubSec reduces the prospect of mistakes as very often, you do
not need to type anything at all e.g. when collecting subs, the screen will display
the correct subscription fee for the member and it is only necessary to click the
'Pay subs' button. However, the member may want to pay for two years and you accidentally
set it to three years and click the button before you realise.
We need a mechanism to allow us to correct such errors and so, both the Subscriptions
and Ticket Sales screens have an 'Undo' button. But, this also represents an excellent
way to cheat the system!
How easy it would be to take a member's money, they see you enter it into the PC
and walk away. You then click the 'Undo' button and liberate the cash you have just
collected.
In order to prevent this, ClubSec also has an 'Undo' log, which like the Subs and
Ticket sales log, records details of transactions that have been undone in any session.
Naturally, the occasional error is to be expected but, if the same user is repeatedly
making use of this feature then alarm bells may begin to ring.
How can ClubSec make us money?
Every club is the same. There is a noticeboard covered with cards for taxi firms,
plumbers, gardeners etc. etc. If you have one or more monitors on display
in your premises, why not connect ClubSec to it and use the NoticeBoard function.
This feature allows you to design simple notices comprising:
- Headline message (any size, colour and font you choose) that scrolls across the
top of the screen
- Body text (any size, colour and font) that flies in from left, right or bottom and
remains static
- Screen background - any colour you choose
- Display time - how many seconds to display this notice before jumping to the next
one
- Validity period - a date, after which the message will no longer be displayed
Use the Noticeboard to display your club notices, advertise events etc but also,
why not charge a small fee (£1 a week?) for local firms to advertise. How quickly
will ClubSec pay for itself and start to make you a profit?
And finally, at the moment, how much do you spend replacing faulty Bingo machines?
ClubSec provides standard Bingo, with optional snowball, single, double and treble
totes and can run just about any kind of draw you can imagine.
