You choose what to store ...
ClubSec has fields for storing many (60+) items of member information. But, we all
know how life works - your club will want to store some piece of data that ClubSec
doesn't have a field for.
ClubSec handles this by giving each member Notes Fields. These allow effectively
unlimited text to be stored in five different categories - Subscriptions, Applications,
Second Addresses, Disciplinary and General. All of these fields are searchable.
How about an example?
Suppose you wish to keep details about which members attended your AGM. As members check in with you, go to their General notes and type something
like 'AGM 2007' and save it. Now, let's say that you are running an event, places will be popular
and so you decide to give priority to members who attended the AGM.
Easily done - just use the Lists and Labels screen, select the 'Keyword search'
menu item and then 'Keyword(s) in any notes or reminders' option and enter 'AGM
2007' as the keyword. You now have the list of all the members who attended the
meeting.
But hang on, along comes a member of the Committee who wants to name and shame -
he wants a list of everyone who DIDN'T attend the meeting. How on earth can we do
that?
Well, you can do that in approximately one second by clicking the Invert button.
Your list is immediately transformed from a list of attendees to a list of non-attendees.
And, like all ClubSec lists, you can examine all the members of the list individually,
print a copy of the list, print address labels for each person on the list or e-mail
each person and produce optional address labels for those without an e-mail address.
Why stop at one example?
ClubSec is not limited to storing member data - you decide what you want to store.
You may decide to use it to keep records of your staff or all you entertainment
- musicins, comedians, discos etc. You can utilise the standard ClubSec fields for
contact information and use the notes fields to store data about bookings, prices
etc.
"But won't this mess up my membership statistics on the Home Screen?" I hear you
cry. Not at all. Simply create a membership class called 'Entertainers' - or if you like, have a class for each type of entertainer. Then, simply un-check the 'Show
as active members' box and the members of this class will not show up on your active
membership.
