Communicating more effectively with the members
There are may other ways in which ClubSec improves and simplifies your communications
with members:
Letters and e-mails
If you are looking at a member's data screen you have the option to print a contact
information sheet, print an address label or e-mail directly.
From the Home Screen, you can e-mail the entire membership
You can e-mail/print address labels for the whole membership or for any list that you generate
by filtering operations
In the last two cases where you wish to e-mail either the whole membership or a
list you have generated, you have several options. You may choose to:
- E-mail ALL addresses in the database
- E-mail only home addresses
- E-mail only work addresses
- E-mail work if present, else e-mail
home
- E-mail home if present, else e-mail
work
- Generate address labels for every member of the list who did not receive an e-mail
Many e-mail clients will not allow multiple posting and will limit the number
of recipients to say 20. If your e-mail software has a limit, enter it into ClubSec
and, if necessary, multiple e-mails will be generated to ensure that none of your
members are left out.
National organisations/governing bodies etc. - put your news on the
desktop
If you are a national body with many member clubs or branches, we can supply ClubSec
with an RSS feed from your web site visible on the ClubSec home page. The users
can see the headlines from your news feed and view an on screen description of the
selected news item. A single button click then allows them to open up the default
web browser and view any article in full. This is a great way for national
bodies to get important information onto the screens of PCs in every club under
their juristiction.
The ClubSec Noticeboard
These days, computer monitors are very cheap to acquire. Why not mount some monitors
within your club - splitter boxes are available from around £40 that will allow
a number of monitors to run from one PC.
With this in place, you can then use ClubSec to run your Bingo, raffles and totes
providing a much better view than the traditional scenario where only part of the
audience are facing the machine.
With such a system in place, why leave the monitors blank when club games are not
being played? ClubSec provides a NoticeBoard feature which allows the users to enter
club information notices or paid advertisements
for local tradesmen that allow you to generate some income.
Notices can employ any colours and fonts you choose and are animated to attract
attention from the members. And, if you are charging for a notice to be displayed
then you can set the End Date when you create it so that it is only displayed for
as long as it has been paid for. You can select whether ClubSec will then keep the
notice on file or automatically delete it.
